Turning Specifications into Usable Answers

By Aiden Solutions 5 Nov 2026 4 min read

Manufacturers and distributors create detailed information for engineering, certification, sales, installation and service. Much of it is stored in formats designed for completeness. The person asking the question needs a precise clause, limitation or compatible item, often under time pressure.

Conversational access can shorten that retrieval, but it must preserve the distinction between a documented fact and professional judgement.

Separate three answer types

  • Direct facts such as dimensions, materials, ratings and documented compatibility

  • Procedural guidance drawn from approved work instructions

  • Judgement or approval that must remain with engineering, quality or another authorised role

The separation affects the interface and the review process. A sales engineer may receive a specification clause and document identifier. A customer may receive an approved public explanation. A question about a new operating condition may be routed to engineering with the product and environment details already captured.

Prepare the source set

Start with one product line and remove obsolete revisions. Record document identifiers, effective dates and applicable regions. Where two sources use different terminology, add an approved mapping instead of relying on the model to infer equivalence.

Horizontal workplace tools such as Glean, Guru, Microsoft Copilot Studio and Atlassian Rovo offer broad enterprise search, context and agent capabilities. Aiden should not claim to outscale those platforms. Its commercial wedge is a focused, implementation-led system for an operational question domain, including customer or dealer interfaces and the workflow around an answer.9101112

Measure whether users reach the correct source faster and whether the handoff contains enough context for the specialist. Do not treat an answer count as proof of correctness.

Use the Specification Knowledge Readiness Checklist to select the first product line and reviewers.
